Our fabulous, fun, progressive and arts-friendly UCC church is looking for an organizational powerhouse.
Under the direction of the Lead Pastor, the Office Manager supports the staff and congregation, oversees the use of the building by renters and members, and is often the “first face” that people meet at First Church.
We are seeking a candidate with a background in bookkeeping/accounting or database management. Past experience in records retention will be helpful. Ability to set priorities independently and manage deadlines. Calendaring, both long-range internal planning and outward-facing weekly and monthly communication. Background as executive assistant or in small non-profit or start-up setting will be helpful. Ability to balance short- and long-term priorities.
At least three years of administrative experience. Some experience in a church would be helpful, but you need not be a member of our, or any, religious community. LGBTQIA and minorities especially encouraged to apply.
Demonstrated proficiency in Microsoft Word, Publisher and Excel. Excellent editing and desktop publishing skills. Sensitive phone manner, efficient and thoughtful email communication following business communication principles. Quickbooks or other accounting software preferred.
The ideal candidate will be self directed, skillful at volunteer management, and possess qualities of enthusiasm, warmth, leadership and competence.

We plan to fill the position with someone who anticipates at least a two-year commitment. The position is 20 hours per week, Monday-Friday.
RESPONSIBILITIES (include, but are not limited to):
Work closely with Lead Pastor (supervisor), Associate Pastor, Music Director, and Family Ministries Director
Keep regular office hours, attend meetings as required, and receive visitors
Triage communications by mail, email, and phone and facilitate appropriate and timely handling of requests
Accomplish weekly tasks relating to worship preparation and church events
Maintain up-to-date public calendar of events
Provide administrative and procedural support to committees, working closely with church leaders as assigned
Receive and organize operational and committee materials and file in accordance with retention guidelines
Provide ongoing file maintenance and oversight, including physical and computer files, emails, and cloud-based storage
Work closely with the Treasurer, Finance Committee, and Counters to support financial operations by receiving, tracking, and filing invoices, deposits, and payments, facilitate bill payment as assigned
Perform database entry and retrieval regarding demographics, contact information, and pledging
Order supplies for office, janitorial, liturgical, staff, and committee needs
Facilitate rental of the building while exercising judgment in corresponding regarding rental inquiries
Provide support for rentals by building relationships with renters, establishing contracts, following guidelines regarding rental rates and building use, communicating bookings by calendar and email, providing keys and ensuring their return, collecting and tracking payments
Work closely with cleaning staff, supervisor, and Buildings & Grounds Committee to ensure that cleaning tasks are appropriately conducted, the building is kept tidy, maintenance needs are addressed, and inspections are up-to-date
